How we handle your personal data
This privacy notice covers visiting this website and sending a question or enquiry. An enquiry through the website does not register you as a player. Before checking in and playing at the venue, you will receive separate information about how your player data is used.
Last updated: 22 October 2026.
Who is responsible?
The organisation responsible for processing personal data on this website is LightningWars. Business address: Melis Stokestraat 20, 3702 BM Zeist, the Netherlands. KVK number: 93595050.
If you have questions about your data, contact us at contact@lightningwars.com.
What information do you provide?
When you submit a form, we receive your name or nickname and your chosen contact details: an email address or telephone number. When expressing interest in a future round, you can suggest a preferred period and you confirm that you are aged 18 or over.
For a group enquiry, we also ask for your preferred date or period, the number of individual players, the town or region and whether you have a venue in mind. A group or organisation name and any additional requests are optional. For a general question, we receive your chosen subject and your message.
Required fields are marked. Without the necessary details, we cannot process that form or contact you. You can leave optional fields blank. Your browser may remember information you enter, depending on your browser settings.
What do we use your data for?
We use your data to answer your question, discuss possible dates to play and prepare a possible activity. Sending an enquiry does not create an account or subscribe you to a newsletter.
Have you expressed interest in a future round but no longer wish to be contacted about it? Let us know through the contact form or at contact@lightningwars.com.
What is our basis for using your data?
If you ask us to prepare a possible agreement with you, we process the data needed to take steps at your request before entering into that agreement. For other questions and contact with a group organiser, we rely on our legitimate interest in being available to answer questions and handling enquiries properly. We limit the processing to what is needed for those purposes and take your privacy interests into account.
To provide a secure and reliable website, we rely on our legitimate interest in keeping the website working and preventing misuse. When handling a request to exercise your privacy rights, we process the necessary data to meet our legal obligations.
Technical data when you visit the website
When you visit this website, the server receives technical data needed to display pages, such as your IP address. The website is hosted by Hetzner Online GmbH. The relevant processing location is Falkenstein, Germany.
We do not keep separate technical visit logs containing personal data. The server does process technical connection data when displaying the website.
Who can process your data?
Enquiries are processed through a form on our own Hetzner web server. The following people or roles have access to received enquiries: the LightningWars administrator. These enquiries are stored by Google Gmail in a processing location that we do not restrict to the EEA.
We use Google Gmail in a processing location that we do not restrict to the EEA to process email. A notification about an enquiry contains the form fields you provided.
Email sent directly to contact@lightningwars.com is forwarded by ImprovMX to our ordinary Google Gmail inbox. Website forms are sent from our web server directly to that inbox. These services are also subject to their providers' privacy terms. We also disclose data where the law requires it.
Processing outside the European Economic Area
Google and ImprovMX may process email data outside the European Economic Area. We do not restrict their processing to the EEA or claim that storage is exclusively European. The providers describe their international processing and safeguards in their privacy information. You can ask us at contact@lightningwars.com which information applies to your message.
How long do we keep your data?
We keep a question or enquiry for no more than 90 days after it has been dealt with. If you have expressed interest in a future round and your enquiry is still open, we keep it for no more than 6 months after your last contact with us. We then delete the data, unless a separate legal retention requirement applies.
If your enquiry leads to a booking, the necessary data becomes part of the booking records. We will inform you about its further use and retention periods before you book.
As we do not keep separate technical visit logs containing personal data, no separate retention period applies to them.
The web server does not store form contents in its own database or server backups. Email providers may keep temporary copies and backups under their own policies. We delete messages from the active mailbox according to the periods above; we cannot guarantee complete deletion from provider backups on the same date.
Language choice, cookies and visitor analytics
Your chosen language is included in the web address. This website does not use advertising cookies, visitor analytics or an embedded Instagram feed. Switching languages does not create a player profile.
The website does not set functional cookies or use similar browser storage to keep visitor data. Your browser may still remember pages and completed fields, depending on your settings.
When you open Instagram
The Instagram link opens the @playlightningwars profile in a new tab. You are then visiting Instagram, where that platform's privacy settings and terms apply.
Player data and example cards
The player names and results on the example cards are fictional. The photo shows a demonstration of the equipment. The enquiry forms on this website do not create a player profile or link a wallet or Telegram account.
When you check in for a game, your nickname and verified Lightning address are linked to your player profile. After the game, the results are checked and recorded. Linking Telegram is optional. Before you provide this data, you will receive information about how it is processed. The explanation on this page about website enquiries does not replace that information.
What you do not need to share
Do not enter passwords, private keys, wallet recovery phrases or medical information. For a practical question about taking part, a description of the adjustment you need is enough. For a question about an existing payment, you can provide a payment reference; do not send your wallet login details.
Who reviews your enquiry?
A person reviews your enquiry. This website does not make decisions about your booking or participation based solely on automated processing.
Your privacy rights
You can ask what personal data we use about you and have incorrect data corrected. Subject to the conditions of the GDPR, you can also request deletion, restriction of processing or transfer of your data.
You can object to processing based on our legitimate interests for reasons relating to your particular situation. If we ask for consent for a separate purpose, you can withdraw that consent later. This does not affect the lawfulness of processing before you withdrew consent.
Send your request to contact@lightningwars.com. We normally respond within one month. We may first need to check that the request is from you; we will not ask for more data than necessary.
If you are not satisfied with how we handle your data, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or another competent data protection authority.
